Do I need a DMP for my grant?

Often yes. Horizon Europe and most NCN calls require a Data Management Plan (usually by month 6 of the project). Even when not required, a short DMP saves time and avoids surprises.

Where should I store data during the project?

Use secure, backed-up storage approved by your unit/IT. Keep at least 3 copies (3–2–1 rule) and restrict access to the project team; avoid personal drives and ad-hoc cloud shares.

What if my data contains personal info?

Plan consent, access controls, and anonymisation early. For project-specific guidance at PWr, contact the Data Protection Officer (IOD): iod@pwr.edu.pl

Which repository should I use?

Prefer a trusted disciplinary repository; if none fits, use PWr collection in RepOD or a general repository (e.g., ZenodoFigshare), and always check your journal/funder instructions before depositing.

Which license should I pick for my dataset?

Choose a clear data license (e.g., CC BY or CC0) unless restrictions apply (privacy, IP, third-party data).

What is ‘FAIR’ data?

FAIR means Findable, Accessible, Interoperable, Reusable. In practice: good metadata, a persistent identifier (like a DOI), open formats where possible, and a clear license.

What does “as open as possible, as closed as necessary” mean in practice?

Share data openly when you can, but limit or close access when there are legal, ethical, or contractual reasons (e.g., personal data, security, IP). Document any restrictions in your record/metadata.

How do I cite data and get a DOI?

What counts as sensitive data and how do I anonymize it?

Sensitive data includes personal data and information that could cause harm if disclosed. Remove or mask direct and indirect identifiers, and check that re-identification risk is low before sharing.

How do I collaborate securely with external partners?

Use approved storage and access controls, sign data-sharing/collaboration agreements if needed, and avoid emailing files with personal data. Keep an audit trail of who can access what.

How often should I update my DMP?

At key milestones: project start, major data collection changes, before sharing/publishing, and at project end. Many funders expect at least one update during the grant.
